Document PDF Production & Email Distribution

We are pleased to announce a new facility within the FactoryMaster product: PDF production & Email distribution.*

Users now have the facility to produce important documents into a PDF document format instead of printing to a physical printer giving users the flexibility to store and distribute important documents without having to produce a physical copy.

Along side the PDF production of documents, an Email Distribution facility has been included in FactoryMaster.

Users can now define the documents to send to a particular customer / supplier contact and FactoryMaster users when producing a document.

When the document is printed it will be produced as a PDF document and automatically attached to an email. Users will then have the ability to change the default distribution list and send the email.

Users will also have access to an email body template so they can define the default body of the email or retain multiple templates for different customers or situations.

Documents that support PDF Production & Email Distribution: Pro-Forma Invoices, Purchase Orders, Purchase Order Acknowledgement, Purchase Order Release Notes, Delivery Notes, Sales Invoice / Credit Note, Sales order Acknowledgement, Sales Order Traveler, Sales Release note, Supplier Reject Note, Customer Price List, Customer Order Form, Customer Available Stock Order Form, Quote Letter, Expedite Report, Supplier Schedule & XML Supplier schedule.

*Please note that the Email Distribution system requires Microsoft Outlook to be installed on EACH client machine that require the email distribution facility to act as the email client.

PDF production facility requires a relevant PDF document viewer to access the PDF files. The PDF production facility does NOT require the email distribution system to fully function.

System Diagnostics

A new 'Diagnostics' screen has been added to the system's 'Help' menu. This allows ALL users 'read only' access to the main system configuration details to assist in customer queries and support.

Menu Structure

A 'right-click' menu has been added to the main menu to allow tasks such as defining hot key preferences and adding items to the 'favourites' menu. Users can now also choose to use either the 'classic' menu or a hierarchical 'tree' style.

The 'drop-down' menus at the top of the screen have also been revised, with all options now available on the 'toolbar'.

The screen showing your pending tasks and messages (renamed in this version as 'FactoryMaster Today') now opens in its own window, allowing you to return to this screen without having to close the screen you are currently working in. This window can also be closed if not required, and re-opened via a 'drop-down' menu option.

Customer / Supplier Maintenance

Three user definable fields have been added to both the customer and supplier maintenance screens. The QuickBar / 'Find' button can be used to locate matching customer / supplier records.

Quotation Entry

The 'Edit Customer List Price' button on the 'Effective Unit Price' screen now gives the user the option to edit either the prices on the 'basic' price list, or the customer's specific overrides.

Sales Order Maintenance

The QuickBar on the 'Sales Order Maintenance' screen now includes a 'Project Code' field to allow users to find all sales orders related to a particular project.

Sales Order Import

The 'General Sales Order Import' has been updated to allow access to a report at each stage of the import.

Allocate Stock To Call-offs

User access has been added to control which users are able to use this option.

The screen has also been updated to show the supplier and expiry date of a batch when allocating the stock, and users can also change the sort order in which the batches are shown.

Invoice Day Book

The invoice day book has seen substantial changes in this version, including new ranges on 'Customer Group', 'Customer Representative', 'Country Code', 'Part Number' & 'Product Group'.

The 'Customer Order Number', 'Nominal Accounts' and the ability to show all costs in your 'home' currency have been added to the export.

Attaching Documents To Stock Batches

You now have the ability to attach external documents to a stocked part or raw material batch. These documents can be allocated during the 'goods in' procedure, or in the 'details' area of the stock screen.

Stock Valuation Report

The stock valuation report has been updated to allow the inclusion / exclusion of items with a particular stock status.

Operation Pictures

You can now allocate more than one picture to an operation on manufacturing instructions and works orders.

Works Order Components

A new control flag (POP_WO_COMP_NOTES) allows the 'Notes' section of a works order component to be populated with one of the 'Component Notes' defined on the assembly record.

Preactor Scheduling

FactoryMaster now has an additional chargeable option to interface with 'Preactor' for scheduling of works order. This version contains the initial interface which will be developed further in up-coming versions.

Job Costing

'Manual Cost' entries are no longer processed automatically in the background. Previously, users have found it confusing when entries they were editing disappeared from the screen because another machine had processed them. Manual entries must now be processed by the user when they exit the editing screen.
